Personal Information Protection Policy

Our Personal Information Protection Policy is outlined below, as per the Act on the Protection of Personal Information.

1. Basic Policy

The Kanda Group handles the personal information of our customers in an appropriate manner. Personal information is that which can be used to identify a specific individual and includes names, addresses and e-mail addresses. We understand that protecting personal information is a social responsibility and work to ensure that all of our directors and employees, including loan personnel and part-time workers, comply with the laws for personal information in managing personal information.

• We have managers assigned who are responsible for personal information, we have established rules for handling personal information, and we carry out all appropriate protection measures.
• When we collect your personal information, we do so only using appropriate means and only within the scope required to conduct our business. We inform you of the purpose of collection and provide a way to contact our company regarding personal information issues before the information is collected.
• Except in the following cases, we do not use or provide your personal information outside of the scope you agree to at the time of collection:
  1.When required by our subcontractors for the conduct of business,
  2.When disclosure is demanded by a third-party agency having legally binding force, and
  3.When you provide consent to do so.
• We take all reasonable security measures against the risks of illicit access to personal information as well as against the loss, destruction, alteration and leakage of personal information
• When contracting a subcontractor to perform work that involves handling personal information, we require that the subcontractor conclude an agreement and provide guidance and management to ensure that the personal information is used, provided and securely managed in accordance with the agreement made when the personal information was collected.
• If you request that we disclose, correct, change the scope of use or delete your personal information, we will do so promptly within a reasonable scope.
• We comply with the laws, ordinances and regulations applicable to personal information in our possession, we manage personal information so that appropriate operation is carried out and we take corrective action when necessary. We review our system for protecting personal information on a continual basis and make improvements as required.

We also review this Basic Policy from time to time and make ongoing improvements.

2. Uses of Personal Information and Procedures

The purposes and procedures for using the personal information we collect from you are as follows.

How We Handle Personal Information
We use personal information received from you in providing our truck freight transportation, logistics system and other logistics management services, as well as incidental and related services. We also use the personal information collected when you request us to perform work and the personal information you provide to carry out work you request within the scope stated in our agreement. The personal information you provide is not used for any other purposes whatsoever.

How We Handle Shareholder Personal Information
We use the personal information of shareholders listed in our shareholder list for the following purposes:

1. To exercise our rights and fulfill our obligations per commercial laws,
2. To provide various information and/or services to shareholders as the issuing company,
3. To implement various policies for smooth relations between you as a shareholder and us as a company from the perspective of our relationship, and
4. To carry out shareholder management including creating shareholder data based on standards prescribed according to various laws and regulations.

How We Handle the Personal Information of Candidates for Employment
If you apply for employment with us, we will use your personal information for the following purposes:

1. To select candidates for employment, and
2. To provide candidates with the results of the selection process and to manage candidates.

Other
In addition to the situations described above, we obtain employee information in the course of performing business, and we explicitly state the purposes of use when doing so.

Protection and Management of Personal Information
We comply with the Individual Information Protection Law and other laws, ordinances and regulations governing the protection of personal information. Also, we have established a "Personal Information Protection Policy," a "Personal Information Protection Manual" and "Personal Information Protection Regulations." We also endeavor to raise awareness on personal information protection among employees through education and training. Your personal information is managed appropriately under the supervision of a personal information manager, with designated personal information supervisors in each department. We take the utmost care to ensure that personal information is not released externally. Also, the system and measures described above for protecting personal information are reviewed and revised on a continual basis.

Outsourcing of Personal Information
In order to provide satisfactory services, we may subcontract the handling of personal information. In such cases, we will select subcontractors who are recognized as handling personal information appropriately and we will implement appropriate management to ensure that the subcontractor appropriately manages personal information, maintains confidentiality, does not provide personal information to a third party, and otherwise does not divulge or otherwise misuse your personal information.

We share the personal information you provide to us among our group companies as described below.

We manage personal information that you have provided in an appropriate manner, and we do not provide that information to third parties without your permission, except in the following cases:

2. In situations necessary to protect the life, body or assets of a person, when it is unreasonably difficult to obtain your consent,
3. In situations when it is particularly required to improve the public health or promote the healthy nurture of children, and it is unreasonably difficult to obtain your consent, and
4. When a national agency or a local government body or a party contracted thereby requires cooperation for executing work established by law and obtaining your consent may hinder the execution of that work.

If there is an error in the personal information you have provided to us, you may request that your personal information be corrected or deleted.
